# Customer service interview questions

Customer service interviews test how you treat people when things go wrong. Expect scenario questions (an angry customer, a mistake you cannot fix on the spot) and behavioural questions about patience, teamwork and targets. Calm, specific examples beat claims that you are a people person.

## 8 questions with sample answers

1. ### How would you handle an angry customer?
   Sample answer
I let them finish without interrupting, then repeat back what went wrong so they know I've understood. I apologise for the experience, explain what I can do right now and give a clear time for anything that needs follow-up. Last month a customer called about a third missed delivery; I booked a priority slot, added a refund for the shipping and called him back the next day to confirm it had arrived.
What the interviewer is checking: Patience, empathy and ownership. They listen for you staying calm and ending with a concrete fix.
2. ### Tell me about a time you went above and beyond for a customer.
   Sample answer
Situation: an elderly customer couldn't get our online banking app working before a bill was due. Task: our policy was to send a help article. Action: I stayed on the line for 25 minutes, walked her through the setup step by step and checked the payment had gone through. Result: she wrote to the branch to thank the team, and I turned the steps into a simpler guide that cut similar calls by a third.
What the interviewer is checking: Genuine care, and whether your extra effort also improved something for the next customer.
3. ### What does good customer service mean to you?
   Sample answer
Solving the problem on the first contact, in plain language, and making the customer feel it was easy. It isn't about being overly friendly; it's about not making people repeat themselves or chase us for an answer.
What the interviewer is checking: Whether your definition matches theirs. Mention first-contact resolution or effort, and you speak their language.
4. ### How do you handle a request you can't fulfil?
   Sample answer
I say no clearly and early, explain why in one sentence and offer the closest alternative. When a customer wanted a refund outside the 30-day window, I couldn't give it, but I could offer an exchange or store credit. She chose the exchange, and the complaint closed on the same call.
What the interviewer is checking: That you protect company policy without leaving the customer at a dead end.
5. ### How do you stay calm during a busy shift with a long queue?
   Sample answer
I focus on the person in front of me rather than the queue, and I keep notes short so I don't lose time after each call. During last year's holiday peak our team handled 40% more contacts than usual, and my satisfaction score held at 4.7 out of 5.
What the interviewer is checking: Resilience and whether quality holds when volume rises.
6. ### Have you worked with targets such as handling time or satisfaction scores?
   Sample answer
Yes. My current targets are an average handling time under six minutes and a satisfaction score above 4.5. I usually sit at 5 minutes 40 and 4.8. When handling time crept up after a product change, I built a set of saved replies for the five new questions and brought it back under target within two weeks.
What the interviewer is checking: Comfort with metrics, and whether you improve them without cutting corners on quality.
7. ### Tell me about a time you made a mistake with a customer.
   Sample answer
Situation: I gave a customer the wrong cancellation date and she was charged for an extra month. Task: put it right and keep her. Action: I owned it on the call, arranged the refund the same day and flagged the confusing wording in our help article to the knowledge base team. Result: she stayed with us, and the article was rewritten that week.
What the interviewer is checking: Honesty and accountability, plus whether you fix the root cause.
8. ### How do you work with colleagues when a case needs another team?
   Sample answer
I hand it over with everything they need in one message: the customer's issue, what has been tried and the deadline we promised. Then I tell the customer who has it and when they'll hear back. It saves the other team a call and stops the customer from explaining everything twice.
What the interviewer is checking: Teamwork and whether you keep ownership of the customer experience after a handover.

## How to prepare

- Prepare two stories about difficult customers and one about a mistake you fixed.
- Learn the company's main products and the complaints you can find in their public reviews.
- Know your current numbers: handling time, satisfaction score, contacts per day.
- Practise a short role play out loud: an upset customer, a refund you cannot give.

## Questions to ask the interviewer

- What are the most common reasons customers contact you?
- How is quality measured here, beyond speed?
- What does training look like in the first weeks?
